Who does WFAA collect data from?
All current plotholders / tenants.

Why?
The data collected is used to communicate to plot holders about rent collection, non-cultivation of plots, eviction and any other breaches of the WFAA/NBC rules and regulations for Allotments. Data is also collected for collection of seed and/or potato orders, distribution of the newsletter and any other matter to facilitate the smooth running of the site.

What?
The data held is that given by plot holders at the start of their tenancy on the Tenancy Agreement.

Where?
The data or site this is held electronically by members of the committee on a need to know basis in order to fulfil their agreed role: Chair, Secretary, Treasurer, lettings Officer, plot inspections officer and shop manager.

One paper copy, with names, plot details and phone numbers only, is kept in the safe in The Hut.

Annually, a copy of the site list, without email addresses or phone number numbers, is sent to the National Allotment Association as a condition of membership. NAS does not share the information further.

When?
For the duration of the tenancy, all data is deleted once the tenancy ceases

When the Tenancy ends information is passed to the Secretary and all data on the Tenancy is deleted.

Tenancy Starts
Completed Tenancy Agreement is held in the safe for collection by Secretary

Secretary collects new data and updates site list, which is then sent electronically to officers of the Committee, as above.

All data on the Tenancy is deleted.
